Back to TopAn enrolment can be made by:
- Online with instant price calculator:
Adult Agency Booking Form: https://www.maltalingua.com/agent-zone/booking-form/
Junior Agency Booking Form: https://www.maltalingua.com/agent-zone/booking-junior/ - Email: hello@maltalingua.com
- Telephone: (00356) 2742 7570 – this must be followed by a written confirmation.
You may use the Maltalingua enrolment form, or your own agency enrolment form, provided the following information is given:
- Student's full name
- Student's address
- Student's contact number
- Email address (This must be the student's personal email address, as important information will be sent here. If the agency provides its own email address, it assumes responsibility for forwarding all required information to the student immediately. Should a complaint arise due to a failure to forward this information, any compensation will be the responsibility of the agent.)
- Gender
- Date of birth
- Course
- Course start and end date
- Estimated student's level of English
- Type of accommodation (if required)
- Airport transfer (if required)
If airport transfer is required (compulsory on arrival for apartment and host family accommodation) we will need the flight details including flight number, arrival date and time. If return airport transfer is required, we will also need the student's flight departure details. Please be advised that booking return airport transfer is better value than booking single journeys separately.
Back to TopIf the agent is paying the net fees, all correspondence regarding the student will be sent to the agent. The agent will receive:
- A booking confirmation, which confirms the student's reservation.
- If requested, details about accommodation e.g., the host family, apartment, hotel etc., name, address, and telephone number plus arrival information.
- A Gross/Net Invoice.
- Student placement test – It is very important that this is forwarded to the student for completion before the start of the course. Failure to send this information to the student may result in the student not being placed in their preferred class and result in complaints. Should a complaint arise due to this, compensation will be the responsibility of the agent.
If the student is paying the school directly, all the above correspondence will be sent to the student's private email address. However, in this case the invoice will be addressed to the student showing the gross fees payable. No mention will be made of the agent's commission.
Back to TopPayment may be made in Euros in the following ways:
- Bank-to-bank transfer, sent directly to our bank account as stated on the invoice.
- Credit cards with the Visa, American Express or MasterCard logo through our partner Transfermate.
- By cheque made payable to Maltalingua Ltd.
- PayPal (2% processing fee).
As standard all fees must be received by our office or by our bank four weeks before the course begins to guarantee the student's place. It is possible to make payments after the student arrives however this decision will be based on merit, deposit and/or a bank guarantee.
Back to TopWe offer agents the following payment options:
Option A: The agent collects all fees from the student and pays the Centre the net fees (Gross fee minus the Agent commission).
Option B: The student pays the gross fees directly to Maltalingua. For agents choosing Option B, the agent will need to invoice Maltalingua for their commission.
When transferring payments within the EU, students and agents are advised to use the free Bank-to-Bank SEPA transfer order. Outside the EU, banks charge variable transfer fees. If possible, we recommend making multiple payments at one time. All bank transfer fees are to be borne by the agent or the student.
We reserve the right to cancel any courses or accommodation for which payment has not been received, or in cases where debt is outstanding.
Please contact us if you wish to discuss any other form of payment option.
Back to TopOption A – Agency Payment
The agent undertakes to remit all the expenses connected with the student's enrolment. On receipt of an enrolment, Maltalingua will issue a booking confirmation and invoice to the agency which will outline the Gross and Net values. The Net fees are to be transferred to Maltalingua.
On request, in addition to the agent's gross/net invoice, Maltalingua can also issue a "gross" pro forma invoice for the student.
Option B – Student Payment
The student sends a completed enrolment form or completes our online enquiry: www.maltalingua.com/quotation/ or booking form www.maltalingua.com/booking, stating the Agent's name in the comments field.
Maltalingua will then issue a (gross) invoice to the student for the balance of fees, which are payable within 7 days and no later than 28 days before the course begins. Bookings made less than 28 days before the course begins must be transferred immediately. A proof of bank transfer may be required provided via email. For VISA applications, Maltalingua require full payment before we can issue an enrolment acceptance letter.
Agents who book students on this basis will receive a credit note and payment will be made monthly after the student's course start date. Commission payments will only be credited if all accounts with Maltalingua are fully paid to date. Maltalingua reserves the right to withhold commissions until all outstanding debts are settled. These credit notes may be deducted from future invoices or refunded at the agent's request.
Please note that commissions can only be credited to the agent if the enrolment form is marked with the agency name, or on receipt of a letter from the agent providing full details of the student's enrolment.
Back to TopIf any student enrolled by an agent subsequently extends their course, the agent will be credited with extra discount earned. Extra discounts will be added to the agent's account and paid retrospectively, either by way of a credit note or bank transfer. We will also endeavour to pay commissions for any student who was originally referred by an agent, who subsequently re-enrols independently, although payment can only be guaranteed if the agent submits a written claim.
Back to TopFor standard individual bookings, agents do not incur cancellation fees outside of 4 weeks prior to the student's arrival date.
Within the 4-week cancellation period, a 20% fee is levied. Cancellations must be made in writing per email or letter. A booking cancellation may only be confirmed once Maltalingua are in receipt of the booking cancellation request. Hotel bookings are subject to variable cancellation fees which start at 20% within 21 days of arrival. Refunds are not granted for students who fail to show – 'no shows'. Maltalingua will exercise discretion for extenuating circumstances. It is the agent's responsibility to recommend that students all possess adequate travel insurance.
In the event that a student's visa application is refused, Maltalingua will retain 20% of the total course fees as an administration charge. The remaining balance will be refunded to the agent or student as applicable. This applies to both individual and agency bookings. Maltalingua must be informed immediately if a visa application is rejected. In order to receive a full refund of the booking – minus 20% of the total booking value – a copy of the rejection letter must be received at Maltalingua no later than 14 days prior to arrival.
Cancellations received less than 14 days prior to the arrival date are non-refundable.
In cases where students cancel their course, qualifying for a refund under our terms and conditions of enrolment, agents must undertake to return any commission already paid which relates to the part of the course subsequently cancelled. The amount to be refunded to Maltalingua can usually be deducted from future agency payment.
Back to TopMaltalingua accepts group bookings (minimum 5 students) from agents, schools, colleges, and individuals.
All group bookings are subject to availability at the time of booking.
All enquiries, both online and direct, must include the intended dates, number of students, course/programme, and accommodation – if required. Once an enquiry is received, Maltalingua will prepare a personalised group quotation. When the quotation has been accepted and availability confirmed, a deposit of 40% against the total group booking must be paid within 14 days to confirm the provisional booking.

Details of all students and group leaders must be submitted no later than 10 weeks before arrival date. Once received a pro-forma invoice will be issued. Payment in full must be received not later than 8 weeks before arrival date.
